A workstation installation in Billings can stay on schedule or slip by days, and the difference is usually the building, not the furniture. Freight elevators, loading docks and building hours decide how fast product gets from the truck to the floor. This checklist covers the access and timing prep that facility managers can handle ahead of time, so install day goes the way it was planned.
Billings is OFR’s newest location. From our Billings office on Daniel Street, OFR brings turnkey office furniture installation, workstation reconfiguration, corporate relocation and delivery to Billings businesses. Our installers are factory-certified on Steelcase, MillerKnoll, Haworth, Allsteel and Spacesaver, and we install all major brands, including HON, Global and Teknion.
Step 1: Confirm the Scope and the Layout
Before you book any dates, make sure everyone is working from the same plan.
- Approved drawing. The crew installs from the layout. It should show every workstation, its orientation and where power and data come in.
- Furniture order or bill of materials. A complete list lets the installer check what’s arriving and plan the crew.
- Existing furniture. If old workstations need to come out first, include removal in the scope so it gets scheduled.
- One point of contact. Pick one person who can make layout decisions on install day.
Step 2: Plan Elevator Access
In a multi-story building, the freight elevator is often the bottleneck. Workstation components are long, heavy and numerous, and every carton has to ride up.
- Reserve the elevator. Ask building management whether the freight elevator can be reserved for the install, and for how many hours.
- Measure it. Confirm the door height, cab depth and weight limit. Long panels and work surfaces need to fit.
- Protect it. Many buildings require padding on elevator walls. Ask who provides it.
- Ask about shared use. If other tenants need the elevator during the day, find out when it’s free, or plan to move product before or after their peak hours.
If your building has no freight elevator, tell your installer up front. A passenger elevator or stairs changes the crew size and the time needed.
Step 3: Lock In the Loading Dock
The dock is where the schedule starts. A missed dock window can mean a truck waiting, or leaving.
- Book dock time for each delivery, and confirm how long the truck can stay.
- Check the approach. Make sure a box truck or semi can reach the dock, and note any height limits, tight turns or shared driveways.
- No dock? If deliveries come through a front entrance or a ground-level door, plan the path to the elevator and protect the floors and door frames along the way.
- Building rules. Some properties require a certificate of insurance before a crew can work on site. Request the requirements early so paperwork doesn’t hold up the truck.
Step 4: Use Local Receiving and Staging
Furniture orders often ship in pieces. Different manufacturers ship on different days, and some items arrive weeks before the space is ready.
OFR has local warehouses in Boise, Idaho Falls, Helena and Billings for receiving and staging. For a workstation installation in Billings, that means product can be received locally and checked before it heads to your building, instead of piling up in your lobby or hallways. When the space is ready, it’s delivered in a planned order so the crew can work area by area.
Step 5: Decide on After-Hours Work
Many offices can’t shut down for an install. After-hours or weekend work keeps your team productive, but it needs its own prep.
- Building access. Confirm after-hours entry, security contacts and whether HVAC and lighting will be on.
- Elevator and dock hours. Some buildings only allow freight moves at certain times. After-hours windows may be easier to reserve.
- Phased installs. Larger projects can be done in phases, so part of the floor stays in use while another section is built. (Changing an existing layout instead? See reconfiguration.)
- Noise rules. Ask whether other tenants limit noisy work to certain hours.
After-hours scheduling can affect the cost and timeline of a project, so mention it when you request a quote.
Step 6: Coordinate Power, Data and Other Trades
Powered workstations bring in electricians and IT vendors, and their timing has to fit the install.
- Confirm who connects workstation power to the building and who runs network cabling.
- Schedule those trades after the panels go up, and share the timing with your installer.
- Make sure the drawing’s power and data feed locations match the building.

What Affects Cost and Timeline

- Delivery timing, especially staggered or late shipments
- After-hours or weekend work
- Removal of existing furniture
